Australian accounting firms hear both terms used as if they mean the same thing. They overlap, but the difference matters for who owns the client relationship, how your clients experience the service, and how much control your firm keeps.
Outsourced bookkeeping
A business (or a firm) hands bookkeeping to an external provider. The provider is visible: it may email the client for receipts, appear by name in the ledger, and sometimes hold the relationship directly.

- Quality control depends on the provider’s own process
White label bookkeeping
The work is done by an external team but delivered entirely under your firm’s name. The external team never contacts your clients, follows your templates and review checklist, and works only through access your firm grants.

- Output matches your workpaper standard, not the provider’s
- Capacity scales with BAS quarters and EOFY without permanent hires
Questions to ask any provider
- Will you ever contact our clients directly?
- Do you work inside our Xero or MYOB files, or export data to your own systems?
- Is MFA enforced and is anything stored locally?
- Will you sign an NDA before access?
- Can we test you on one real file before committing?
Which fits your firm?
If you sell bookkeeping as part of your own service and want clients to see only your brand, white label is the model. If you simply want your own business’s books handled, outsourced bookkeeping is enough.
