12 Questions to Ask a White Label Bookkeeping Provider
What Australian accounting firms should ask before choosing a white label bookkeeping provider: client contact, access security, NDAs, offshore privacy, templates, query logs, lodgement and exit.
Choosing a white label bookkeeping provider is a decision about your firm's reputation. Your clients will never see the provider, but they will see every mistake. These are the questions Australian accounting and bookkeeping firms should ask before handing over a single file, and what a good answer sounds like.
1. Will you ever contact our clients?
The only acceptable answer for white label work is no. Queries should come to your team in a log you can forward or answer yourself. If a provider wants to email your clients for receipts "to save you time", that is outsourcing under their name, not white label.
2. Do you work inside our files or export data?
A good provider works inside the Xero, MYOB or QuickBooks files you already control, through user access you can remove at any time. Be cautious of anyone who needs ledgers exported to their own systems or spreadsheets.
3. How is access secured?
- Is MFA enforced on every login?
- Is anything downloaded or stored on local machines?
- Who on their team can access which clients?
- What happens to access when a staff member leaves?
4. Will you sign an NDA before access?
Yes should come before any file is shared, including the trial. The NDA should cover client information, your templates and pricing, and non-solicitation of your clients and staff.
5. Where is the work done, and what does that mean for privacy?
Ask directly where the team sits. Offshore work is common and can be done well, but you should know. The Privacy Act's cross-border disclosure principle (APP 8) is why many firms mention offshore processing in their engagement letters. Your professional body can help with wording.
6. Can you follow our templates and review checklist?
Output should look like your team prepared it: your chart of accounts, tracking categories, workpaper layout and naming. Ask to see how they capture your standing instructions so the second job is better than the first.
7. What does your query log look like?
Every provider hits items they cannot resolve from the records. The difference is whether those items are listed clearly or hidden in suspense accounts. Ask for a sample query log and check that each item says what is missing and what decision is needed.
8. Who lodges, and who signs off?
Lodgement and sign-off should stay with your firm as the registered tax or BAS agent. A white label provider prepares; it should not lodge with the ATO on your behalf or give advice to your clients.
9. How do you handle BAS quarters and EOFY peaks?
Your volume spikes in late October, late February, late April and after 30 June. Ask how much notice they need to add capacity, and whether reserved volume is guaranteed during those weeks.
10. What turnaround should we expect?
Agree turnaround by job type: routine monthly reconciliations, BAS drafts, catch-ups and year-end files all differ. Time zone matters too. Overnight delivery only helps if the provider's working day overlaps your end-of-day handoff.
11. Can we test you on one real file?
A trial file tells you more than any proposal. Pick a typical client, not your messiest, and have your reviewer mark it up as they would a junior's work. Then see how the provider responds to the feedback.
12. How easily can we leave?
Because the work lives in your files, leaving should be simple: remove access and keep everything. Check the agreement for notice periods and confirm there is no lock-in.
